Exhibit Space Information

InfoExpo space is assigned in the order applications are received and at the discretion of the Agricultural Media Summit LLC. Every effort will be made to honor location requests.

InfoExpo Exhibit Hours

Sunday, August 5
2 - 5 p.m.: Exhibit Setup

Monday, August 6
8 a.m. - 3 p.m.: Exhibit Setup
4 - 7 p.m.: Grand Opening of InfoExpo

Tuesday, August 7

8:30 - 10:15 am Breakfast and Networking in InfoExpo
1:30 - 3 p.m.: Dessert in InfoExpo
3 - 6 p.m.: InfoExpo Teardown

Pricing

Early registrants receive a discounted rate of $1,395 per booth ($650 for second booth) if received by May 14, 2012. After that date, the rate will be $1,595 per booth ($675 for second booth). Please note that Ag Media Summit accepts credit card payments, but will charge a 5 percent processing fee.

One person per company will receive full conference benefits (including all meals and functions) as part of the InfoExpo registration fee.

Convention Registration

Exhibitors will receive one conference registration for each booth reserved. Additional InfoExpo-only passes will be available for $129. Individual registration forms will be included with information mailed before the conference or you can register online.

All aisle and corridor space is under the control of the Agricultural Media Summit LLC and shall not be used for lobbying, distribution of literature or demonstration purposes.

Booth Installation & Dismantling

Exhibit installation will take place from 2 to 5 p.m., Sunday, August 5, and on Monday, August 6, beginning at 8 a.m. All exhibitors' booths must be installed by 3 p.m. that day. Dismantling may begin at 3 p.m., August 7.

No exhibitor may pack or remove articles on exhibit before closing of the show. Exhibitors who need additional time to install and/or dismantle booths should contact the AAEA offices as soon as possible.

Booth Furnishings

Each exhibit booth will include one 8x10-foot piped and draped sapce with one six-foot draped table, two chairs and one wastebasket. Additional booth items, electrical or audio-visual needs may be ordered directly from the decorating company and/or hotel, using the order forms we will send you before the conference.

Locations

All Agricultural Media Summit functions will be held at the Hyatt Albuequerque Downtown and the Albuquerque Convention Center located across the street.

AMS EVENT SCHEDULING POLICY
It is the policy of the Ag Media Summit (AMS) Steering Committee to encourage those registered for the Summit to attend scheduled program workshops, seminars and meetings. The AMS Steering Committee understands that occasionally companies wish to invite selected media representatives to events (e.g., media conferences, one-on-one interviews, receptions) while at AMS that are not official AMS functions. Any company wishing to hold an event or reserve a meeting room in the headquarters hotel during an official AMS function is asked to bring the request to the AMS Steering Committee Chair or AMS Staff not less than 30 days prior to the start of AMS. Please provide the request by email to Diane Johnson (dianej@flash.net) or Den Gardner (aaea@gardnerandgardnercommunications.com).
A decision will be made by the AMS Steering Committee within one week of receiving each written request. The AMS Steering Committee thanks you in advance for adhering to this policy.

AMS INFOEXPO POLICY
The InfoExpo hours are intended for members of media attending the event to meet with AMS sponsors and InfoExpo exhibitors on the trade show floor. Companies are discouraged from arranging media interviews outside of the trade show floor during the official hours for InfoExpo. AMS Steering Committee and Staff asks that companies respect this time period and suggest other media interviews be conducted during other hours at AMS that do not conflict with official functions, which includes workshops and seminars.
